Website and pilot service terms.

CoolMatch helps homeowners explore an estimate and request introductions to independent installers. It is not an installation service.

Updated 23 September 2026.

1. Operator and support

The legal identity of the operator of CoolMatch still needs to be published.

The operator's contact address also needs to be published. This is an outstanding public-launch requirement.

For service questions, complaints or privacy requests, email hello@needarecruiter.com. This is the temporary CoolMatch contact during the pilot.

2. What the service does

You can describe your home, see an indicative estimate and decide whether to request introductions. A submitted request needs email confirmation and review before an introduction can proceed. Coverage and installer acceptance affect whether we can help.

There is no charge to homeowners for the estimate or introduction service. A request does not book a survey or installation and does not guarantee a particular number of responses. A waitlist records interest; it is not a promise of future coverage.

CoolMatch is responsible for providing its own service with the care required by law. We do not carry out the installation survey, design a final system, supply equipment or perform the installation. We do not offer installation finance or arrange credit.

3. Estimates and permission

Online sizing, installation prices and running costs are indicative calculations from the answers and assumptions shown. They are not a survey, a product recommendation, a binding quote or independently calibrated market evidence. Read the estimate methodology before relying on the result.

An installer must assess the actual property and confirm equipment, scope, exclusions and price. Unknown or unusually large rooms need a survey rather than a confident online capacity figure. Multi-room estimates use separate-system ranges, not a promised multi-split design.

You and the installer need to establish any planning, building, landlord or freeholder requirements before work. Ask the relevant authority where needed. An answer in the form is not approval or legal advice about permission.

4. Installer evidence

We check F-Gas and public liability evidence before sharing a request. Eligibility for a new introduction requires active status, current F-Gas and insurance details, and reviewed supporting evidence.

Sole traders and limited companies can apply. A Companies House record is not a substitute for the required certification and insurance evidence.

These document checks do not inspect completed installations, establish a quality rating or guarantee workmanship. They do not remove our responsibility to carry out the checks we say we perform.

5. Your installation contract

If you hire an installer, the agreement for their survey, design, supply, installation and any aftercare is between you and that installer. Ask for written scope, pricing including VAT where applicable, payment terms, timings and warranty details before agreeing.

Raise a workmanship or contractual problem with the installer. Tell CoolMatch about concerns involving an introduction or our service so we can review our role. We do not replace an installer's or manufacturer's obligations, or act as an insurer of their work.

6. Installer pilot and future pricing

Joining the pilot is free, with the first three introductions free for founding installers. We are not charging for introductions today and do not collect card details. Applying does not start a paid subscription.

The founding offer covers your first three accepted homeowner introductions, not three won jobs or a promise of enquiry volume. It is recorded when you create your pilot account. You can add F-Gas and insurance evidence after signup, but current credentials and reviewed supporting documents are required before new introductions. Each enquiry is shared with no more than three distinct installers through CoolMatch across its lifetime. A homeowner may also contact businesses outside CoolMatch.

The planned model is £35 per pay-as-you-go credit, or Pro at £119 per month including eight credits, with additional Pro credits at £20 each. A credit is planned to cover an accepted introduction, not a guaranteed job. These are planned prices, not a current billing offer.

Final billing, VAT treatment and invalid or duplicate request rules must be agreed before charging starts. New paid terms require a separate decision to join; there is no automatic conversion from the pilot. CoolMatch does not take a percentage of the installer's installation fee.

7. Using the website and accounts

Give accurate information to the best of your knowledge and choose an unknown answer where you do not know. Do not submit enquiries on someone else's behalf without authority or use contact details received through the service for unrelated marketing.

Keep account access and private request links secure. Do not attempt to access another person's records, misuse the service or interfere with its operation. Installer information and evidence should be kept current.

8. Responsibility and consumer rights

The distinction between our introduction service and the installer's work is not a blanket exclusion of CoolMatch's liability. Nothing here excludes or limits responsibility for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any liability that cannot lawfully be excluded.

Your applicable consumer and data-protection rights continue to apply. No invented liability cap or waiver is imposed by this pilot notice. Any additional terms need proper legal review and cannot override those rights.

9. Privacy, complaints and changes

The privacy notice explains data handling and rights. The cookie notice explains essential storage and optional measurement choices.

Send a complaint about CoolMatch to hello@needarecruiter.com, with enough information to identify the enquiry or account. Avoid sending passwords or unnecessary sensitive information.

These terms will be dated when changed. Governing-law and dispute provisions remain subject to legal review and must preserve applicable consumer protections. Describing the service as a pilot does not remove obligations for activity already taking place.
